We currently have an exciting opportunity for an Administrator based in Leicester. Reporting to the Operations Manager, you will proactively deliver administration and compliance requirements, you will also provide efficient and professional administration support to the operational unit.
What you'll do...
Maintenance of and daily data input of hours worked, overtime, absence, sickness and other factors affecting payroll records
Timely submission of monthly payroll details to wages department in accordance with company policies
Maintenance and data input for staff attendance records
Maintenance and upkeep of all personnel files on site
General clerical and filing duties
Control of uniforms, including issue of order forms to the team, compiling details to enable the Admin Manager to raise purchase order, taking delivery of uniform items, issue to the team and maintenance of records
Providing extract information to management for operational reports
Recording and collating information for the benefit of management reporting
Maintaining records of purchase orders and invoices through the EBIS system
Control of revenue, petty cash, reconciliation of revenue and petty cash expenditure and production of analysis sheet for manager’s approval
Take delivery of and register incoming and outgoing mail and courier deliveries
Support other sites or departments with occasional requirement for travel where appropriate
Support planned weekly and monthly activities for the benefit of Safety, Operational Reporting and Finance
Carry out ticket book audits in line with Audit team processes
Manage all medicals for the team to ensure company and legal compliance
Process vehicle files once processed by Engineering Manager
Process all vehicle documentation
Keep all Google drive documentation updated
Raise / order anything Engineering require from office to workshop supplies
Monthly stock checks
What you'll need...
Strong numeracy & literacy skills with experience of MS Office suite especially Word and Excel spreadsheet solutions and Google applications
Purchase order experience desirable
Understanding of invoicing
Letter writing & note taking experience
Minimum of 12 months experience in a similar role
Can demonstrates the ability to build strong relationships with stakeholders
Attention to detail and the ability to prioritize is essential
Experience of working as part of a team and independently
A proactive ‘want to help’ attitude
Previous payroll and admin experience desirable
Excellent organisational skills
